When Do You Usually Get Your W-2 Form?

Your guide to W-2 form arrival, expectations, and how to handle any delivery issues.

The W-2 form, officially known as the Wage and Tax Statement, is an important document for employees in the United States. Its primary purpose is to report an individual’s annual wages and the amount of federal, state, and local taxes withheld by their employer throughout the calendar year. This form is necessary for preparing and filing personal income tax returns. Without a correct W-2, it can be challenging to fulfill tax obligations and claim any applicable refunds.

Standard Delivery Timeline

Employers are generally required by the IRS to furnish W-2 forms to their employees by January 31st each year. This deadline applies whether the form is delivered via mail or made available electronically. If January 31st falls on a weekend or legal holiday, the deadline is extended to the next business day.

Many employers provide W-2s through the U.S. mail, so the physical form might arrive a few days after the January 31st mailing date. Employers also increasingly offer electronic access to W-2 forms, often through a secure online portal. To receive an electronic W-2, employees must typically provide their consent, either electronically or in writing.

What to Do If You Don’t Receive Your W-2

If your W-2 form has not arrived by mid-February, allowing for mail delays, it is time to take action. It is generally advisable to wait until the end of February before initiating a search.

First, contact your employer’s payroll or human resources department. Inquire about the status of your W-2 and confirm they have your correct mailing address on file, especially if you have recently moved. They may be able to provide a reissued form or direct you to an online portal where you can access it electronically.

If contacting your employer does not resolve the issue, or if you still have not received your W-2 by the end of February, you can contact the IRS for assistance. The IRS toll-free number for W-2 inquiries is 800-829-1040. When you call, be prepared to provide specific information: your name, address with zip code, Social Security number, phone number, and the dates you worked for that employer. You will also need to provide your employer’s name, address, phone number, and their Employer Identification Number (EIN) if you know it. The IRS will then contact your employer and request the missing form.

Should your W-2 still be unavailable by the tax filing deadline, you can file your tax return using Form 4852, “Substitute for Form W-2, Wage and Tax Statement.” This form allows you to estimate your wages and the amount of federal, state, and local taxes withheld based on your available records, such as your last pay stub. You must also explain the efforts you made to obtain the missing W-2. This form is attached to your tax return when you file. If you later receive the actual W-2 and the information differs significantly from what you reported on Form 4852, you may need to file an amended tax return using Form 1040-X.
