For example, W-2 forms for the 2024 tax year must be furnished to employees by January 31, 2025. If this specific date falls on a weekend or a legal holiday, the deadline shifts to the next business day. While January 31st represents the latest date employers are required to send these forms, many companies often issue them earlier in the new year.
If the January 31st deadline passes and you have not received your W-2, contact your employer directly. You should reach out to the payroll or human resources department to inquire about the form’s status and confirm the mailing address on file. It is advisable to allow a reasonable period for mail delivery, typically a week to ten days, after your employer confirms it was sent.
If your employer cannot provide the W-2, you can contact the IRS for assistance. The IRS can be reached at 800-829-1040. When calling, be prepared to provide personal details such as your name, address, phone number, Social Security number, and dates of employment. You will also need to furnish your employer’s name, address, phone number, and their Employer Identification Number (EIN), if known. The IRS will then contact your employer to request the missing form and may also send you a Form 4852, Substitute for Form W-2, Wage and Tax Statement.
If the tax filing deadline approaches and you still have not received your W-2, you are expected to file your return on time. In such cases, you can use IRS Form 4852 to estimate your wages and federal income tax withheld. This form allows you to report your income and withholding based on your best available information, such as your final pay stub. If you later receive the actual W-2 and the information differs significantly, you may need to file an amended tax return using Form 1040-X.
