Key Elements of a Pay Stub

A typical pay stub contains information identifying both the employee and the employer. Employee details include the individual’s name, address, and sometimes an internal employee identification number. Employer information, such as the company name, address, and its Employer Identification Number (EIN), is also present. The EIN is a federal tax identification number.

The pay stub specifies the dates encompassing the pay period and the actual pay date. Most employers use regular pay frequencies, such as weekly, bi-weekly, or semi-monthly. Gross pay, which represents the total earnings before any deductions, is displayed. This figure can include regular wages, overtime pay, bonuses, or commissions.

Mandatory deductions are required by law, beginning with federal income tax. The amount withheld for federal income tax is determined by the information provided on an employee’s Form W-4. FICA taxes, which fund Social Security and Medicare, are another mandatory deduction. For 2025, employees contribute 6.2% of their wages to Social Security, up to an annual wage base limit of $176,100. Medicare tax is 1.45% of all wages, with no wage base limit. An additional Medicare Tax of 0.9% applies to wages exceeding $200,000 for employees.

Voluntary deductions are those an employee authorizes to be taken from their pay, typically for benefits or savings. Common examples include health insurance premiums for medical, dental, or vision coverage. Many employees also contribute to retirement plans such as 401(k)s or 403(b)s through payroll deductions. Other voluntary deductions might include contributions to flexible spending accounts (FSAs), health savings accounts (HSAs), life insurance premiums, or union dues. Court-ordered deductions like wage garnishments or child support payments may also appear on a pay stub.

While the annual Form W-2 summarizes this information, pay stubs offer a detailed, per-period breakdown.

By regularly reviewing the document, individuals can track their spending habits relative to their net income and adjust their financial strategies. It allows for monitoring the impact of various deductions on take-home pay, helping manage household finances and identify areas for potential savings.

Pay stubs are a primary tool for verifying pay accuracy. Employees can use them to cross-reference hours worked, pay rates, and confirm that all agreed-upon deductions have been accurately processed. Identifying discrepancies early can ensure proper compensation. In certain situations, such as applying for unemployment benefits or other social welfare programs, pay stubs may be required as proof of past employment and income history.
