A bin card is a foundational tool in inventory management, acting as a physical record of stock movements for a specific item in a particular storage location. It provides an immediate, visual update on the quantity of goods on hand, allowing businesses to track inventory levels directly at the point of storage. This perpetual inventory record reflects the movement of goods into and out of a storage bin.

Information on a Bin Card

A bin card typically includes several data elements for an inventory item. It details the item’s description or name, an item code or part number (a unique identifier), and the bin location where the item is stored.

Further details include the unit of measure (e.g., pieces, kilograms, or liters). Maximum and minimum stock levels (reorder levels) signal when to replenish stock. Each transaction includes the date.

Receipts (inward quantities) document items added to stock, while issues (outward quantities) record items removed. After each transaction, the balance quantity is updated. A reference number links entries to source documents, ensuring traceability. The signature or initials of the person recording the transaction are included for accountability.

Maintaining a Bin Card

Maintaining a bin card involves a disciplined approach to recording every inventory movement. A separate bin card is assigned to each distinct type of item and its specific storage bin, ensuring granular tracking. When new stock arrives, the individual responsible for receiving goods records the date, quantity received, and a reference number from the goods receipt note. The balance quantity is then updated.

Similarly, when stock is removed from the bin, the date, quantity issued, and a reference number from the material requisition slip are promptly recorded on the bin card. The balance quantity is subsequently reduced to show the updated stock level. This immediate and accurate recording for every transaction is paramount to maintain the integrity of the inventory records. Regular physical verification, often through cycle counting, is conducted to reconcile the bin card balance with the actual physical stock in the bin, identifying discrepancies.

Bin cards find their primary application in environments where physical, on-site record-keeping is preferred or necessary. They are commonly employed in smaller businesses, independent warehouses, or specific departments within larger organizations that may not utilize sophisticated computerized inventory systems.
