How to Get Your W2 Form on the Workday Platform

Accessing Your Workday Account

To retrieve your W-2 form, first access your Workday account. Most companies provide a specific web address or a link on their internal intranet or HR portal that directs employees to their unique Workday login page. You will need to enter your company-provided username and password.

Many organizations implement multi-factor authentication (MFA). If prompted, you may need to enter a code sent to your registered mobile device or generated by an authenticator application to verify your identity. If you have difficulty logging in, such as forgotten credentials or an account lockout, contact your employer’s human resources department or IT support team. They can assist with resetting passwords or resolving access issues.

Locating Your W-2 Document

Once you have logged into Workday, navigating to your W-2 document involves a few steps. Many Workday interfaces feature a “Pay” worklet or application on the homepage, which serves as a central hub for payroll-related information. Within the “Pay” section, you will typically find a category or link labeled “Tax Documents” or “My Tax Documents”. Alternatively, some Workday systems allow users to locate their W-2 by utilizing the search bar function, typing “W-2” or “tax documents” to quickly find the relevant section.

After accessing the tax documents section, you will see a list of available tax forms, organized by tax year. Select the correct tax year for the W-2 form you intend to view or download. The W-2 form summarizes your annual wages and the taxes withheld by your employer, which is crucial for filing your federal and state income tax returns. Employers are required by the IRS to furnish W-2 forms to employees by January 31st of the year following the tax year.

Downloading and Printing Your W-2

After locating your W-2 document within the “My Tax Documents” section, download and print it. You will find a “View/Print” or “Download” button associated with the W-2 form for the selected tax year. Clicking this option will generate the W-2 as a Portable Document Format (PDF) file.

You may encounter a message indicating that your request is being processed, with an option to “Notify Me Later”. Selecting this allows the system to prepare the document, and a notification will appear in your Workday inbox or bell icon once the PDF is ready for download. Save the file to a secure location on your device, such as your computer’s documents folder. You can then open the PDF using a standard PDF reader and print it.

Troubleshooting Common W-2 Access Issues

Employees may encounter issues when attempting to access their W-2 forms through Workday. One common reason a W-2 might not be immediately available is related to the timing of its release by the employer, although employers are required to issue them by January 31st. If you believe your W-2 contains incorrect information, such as an inaccurate Social Security number or incorrect wage amounts, contact your company’s payroll or human resources department to request a corrected Form W-2c.

Technical difficulties, such as problems opening or printing the PDF, can often be resolved by ensuring you have an updated PDF reader installed on your device or by checking your printer’s connectivity. If login problems persist, such as an account lockout or persistent error messages, clearing your browser’s cache and cookies, or trying a different web browser, can sometimes resolve the issue. If these basic steps do not resolve the problem, contact your organization’s IT support.
