Obtaining from the Social Security Administration

If you are unable to secure your W-2 directly from your employer, the Social Security Administration (SSA) can provide wage and income information. The SSA provides a record of your reported earnings, which includes the federal tax information submitted by your employer, rather than an exact copy of the original W-2 form. This information is sufficient for tax filing purposes.

To request wage information from the SSA, you will need to provide your full name, Social Security Number, date of birth, and mailing address, along with the specific tax year(s) you need. The SSA offers several ways to access this data. You can create or sign in to a “my Social Security” online account at ssa.gov to review your earnings history and download your Social Security Statement.

For those who prefer to request by mail, you can complete Form SSA-7050-F4, “Request for Social Security Earnings Information.” This form allows you to request certified or non-certified earnings information or yearly totals. While non-certified yearly totals are available for free through your “my Social Security” account, there may be a fee for certified records or detailed itemized statements. Processing times for mail requests can take several weeks.

Accessing Information from the Internal Revenue Service

The Internal Revenue Service (IRS) is another option for obtaining your wage and income data if you cannot get it from your employer or the SSA. The IRS provides a “Wage and Income Transcript,” which contains information from W-2s, 1099s, and other income documents reported to the agency. This transcript includes the financial details needed for tax preparation, though it is not a duplicate of the original W-2 form.

To request a Wage and Income Transcript, you will need your full name, Social Security Number, date of birth, and the mailing address the IRS has on file. You also need to specify the tax year(s) for which you require the information. The IRS offers several methods for requesting this transcript, all free of charge.

The quickest way is through the “Get Transcript Online” tool on the IRS website. This method requires identity verification. Once verified, you can view, print, or download the transcript immediately.

Alternatively, you can use the “Get Transcript by Mail” tool online or call the IRS automated phone line at 1-800-908-9946. Transcripts requested by mail arrive within 5 to 10 calendar days at the address the IRS has on record.

For those preferring to mail a request, Form 4506-T, “Request for Transcript of Tax Return,” can be used to specifically request a Wage and Income Transcript by checking the appropriate box for W-2 information. This form processes within 10 business days of the IRS receiving it.
