Understanding the W2 Control Number

Tax preparation software frequently refers to this as an “import code” because it helps automate the data entry process by importing information directly from your W-2.

It is not always present, as its inclusion depends on the specific payroll system an employer uses. The IRS does not require employers to report a control number in Box D. Therefore, its presence or absence does not impact the accuracy of your tax reports or your ability to file.

Locating the Control Number on Your W2

To find the control number, look for “Box D” on your W-2 form. This box is usually situated below the section containing your “employee’s name, business address, and zip code.” While its exact placement can vary slightly depending on the W-2 form’s source, it is commonly found on the right side of the form. The control number often appears as a sequence of letters and numbers, sometimes including hyphens or spaces. For example, it might look like “12345 ABCDEF.” When entering this code into tax software, carefully transcribe it exactly as it appears on the form to ensure proper import.

Troubleshooting Missing or Invalid Control Numbers

If Box D on your W-2 is empty or the control number you entered is not accepted by your tax software, there are straightforward solutions. The absence of a control number does not prevent you from filing your taxes. You can simply leave Box D blank in your tax software if it is not present on your physical W-2. If the software requires a control number for import and yours is missing or invalid, you can typically choose to manually enter all the information from your W-2.
