It serves as a federal tax identification number for businesses. While a Form W-2, Wage and Tax Statement, is the most common place for an employee to find their employer’s EIN, this document may not always be available. This article explores alternative methods for individuals to locate an employer’s EIN when a W-2 is not at hand.

Understanding the Employer Identification Number

An Employer Identification Number functions as a federal tax identification number for businesses, tax-exempt organizations, and other entities. The IRS uses this unique identifier to track businesses for various tax reporting purposes, including payroll tax remittances and income tax filings. Businesses typically need an EIN if they have employees, operate as a corporation or partnership, or file certain types of tax returns.

An individual might need their employer’s EIN for several reasons beyond tax filing, such as applying for financial aid, completing official documentation, or seeking unemployment benefits. For instance, a corrected wage and tax statement, Form W-2c, would contain the EIN. If you were paid as an independent contractor, the payer’s EIN would be listed on Form 1099-NEC or Form 1099-MISC.

Contacting Your Employer for the EIN

Directly contacting your employer is often the most straightforward way to obtain their EIN when a W-2 is not available. The Human Resources (HR) department, payroll department, or a direct supervisor are typically the appropriate contacts. These departments routinely handle inquiries related to employee tax information.

When reaching out, clearly state that you need the company’s Employer Identification Number for tax or other official purposes. You can communicate your request through a phone call, email, or an in-person visit. Be prepared to provide identifying information such as your full name, dates of employment, and potentially your Social Security Number. This helps the employer verify your identity before disclosing company data.

Seeking EIN Information from the IRS

As a last resort, individuals may consider contacting the Internal Revenue Service (IRS) directly to inquire about an employer’s EIN. However, the IRS generally does not provide an employer’s EIN to current or former employees due to taxpayer privacy rules.

There are very limited circumstances under which the IRS might provide this information. For example, if a business is defunct and the EIN is absolutely required for a specific tax form that cannot be filed without it, the IRS may consider a request. To attempt to obtain an EIN from the IRS, you can call the Business & Specialty Tax Line at 1-800-829-4933. You will need to verify your identity and clearly explain your reason for needing the EIN. Be prepared to provide personal details such as your name, Social Security Number, address, and information about the employer, including their business name, last known address, and your dates of employment.
