Do You Have to File All Your W-2s at the Same Time?

Understanding the function of this form and the procedures to follow if it is missing or incorrect helps ensure a smooth tax filing experience.

Importance of Wage and Tax Statements

Employers must provide a Form W-2 to each employee and file it with the Social Security Administration (SSA) by January 31 following the tax year. This form summarizes the wages paid to an employee and the taxes withheld from their paychecks throughout the year. It includes details such as federal income tax withheld, Social Security and Medicare taxes withheld.

The information on a W-2 is essential for accurately preparing a tax return. It serves as the primary record of earned income and taxes already paid, allowing taxpayers to calculate their total tax liability and determine any refund or balance due. Without this statement, reconciling income and withholding amounts reported to the Internal Revenue Service (IRS) is challenging.

Steps for Missing Wage and Tax Statements

If a W-2 is not received by the January 31 deadline, the first step is to contact the employer directly. Confirm when the form was mailed and verify the mailing address on file, as it may have been returned due to an incorrect address.

If contacting the employer does not resolve the issue, or if the form is not received by mid-February, contact the IRS for assistance. When calling the IRS at 800-829-1040, be prepared to provide your name, address, Social Security number, employer’s name, address, and employment dates. The IRS may provide Form 4852, Substitute for Form W-2.

Filing Your Tax Return with Incomplete Information

Taxpayers are expected to file their returns by the April deadline, even if a W-2 is missing. If, after attempting to obtain the W-2 from the employer and contacting the IRS, the form is still unavailable, taxpayers can use Form 4852. This form allows individuals to estimate their wages and withheld taxes based on their final pay stub or other available records.

Form 4852 should be completed with the most accurate information possible. Attaching Form 4852 to the tax return allows for timely filing, but refund processing may be delayed while the IRS verifies the information. If the actual W-2 later arrives with different information, an amended return may be necessary.

Amending a Previously Filed Return

If a tax return was filed with incomplete or incorrect information, such as using Form 4852, it may need correction. Form 1040-X, Amended U.S. Individual Income Tax Return, is used for this purpose. This form allows taxpayers to adjust income amounts, deductions, credits, or filing status for a previously submitted return.

To amend a return, taxpayers must complete Form 1040-X, providing the original figures, the net changes, and the corrected amounts. Include a clear explanation for the changes. The IRS takes up to 16 weeks to process amended returns. Taxpayers can track the status of their amended return using the “Where’s My Amended Return?” tool on the IRS website approximately three weeks after submission.
