Handwriting Official W2 Forms

While it is technically possible to handwrite W-2 forms, it is generally discouraged due to strict requirements and potential issues. The IRS permits handwritten entries only on official, pre-printed W-2 forms, specifically Copy A, which is the red-inked copy submitted to the Social Security Administration (SSA). These official forms must be obtained directly from the IRS or an authorized vendor; self-printed blank forms are not acceptable for Copy A due to their scannable nature.

If handwriting, legibility is crucial, requiring clear block letters using black ink. Smudges, erasures, or corrections can invalidate the form, as these forms are machine-read by the SSA. Correct placement of information within the designated boxes is also important for machine readability. Handwritten forms are more susceptible to errors, which can lead to processing delays or penalties from the IRS or SSA.

Employers can also outsource their payroll and W-2 preparation to professional payroll providers or accounting firms, which handle compliance and filing. These methods offer advantages in accuracy, adherence to IRS and SSA regulations, time savings, and ease of distribution. Official W-2 forms can be ordered for free directly from the IRS website if software is not used to generate printable forms.

W2 Filing and Employee Distribution

Once W-2 forms are accurately prepared, employers must adhere to specific procedural steps for filing and distribution. Employers are required to file Copy A of Form W-2 with the Social Security Administration (SSA) by January 31st each year. This deadline applies to both paper and electronic submissions.

A key requirement for employers is the electronic filing mandate: if an employer files 10 or more W-2 forms, they are required to e-file them with the SSA. This threshold also aggregates other information returns, meaning if the combined total of W-2s and other forms like 1099s reaches 10 or more, all must be e-filed. Electronic filing is typically done through the SSA’s Business Services Online (BSO) portal or integrated payroll software. For employers filing fewer than 10 W-2s, paper filing of Copy A along with Form W-3, the Transmittal of Wage and Tax Statements, to the SSA remains an option.

Employers must also furnish Copies B, C, and 2 of the W-2 to their employees by January 31st, allowing employees to use these copies for their federal, state, and personal records. Acceptable methods for employee distribution include mail, in-person delivery, or secure electronic delivery with the employee’s explicit consent.
